This Privacy Statement explains how personal information is collected, used and handled in connection with the TenderReady supplier bid optimisation tools, accessible at clauseandeffect.app/tenderready.

TenderReady is a product of Clause & Effect. This statement should be read alongside the main Clause & Effect Privacy Policy, which applies to all services operated under the Clause & Effect platform.

1. What TenderReady Does

TenderReady provides AI-powered tools to help suppliers improve their government bid responses. The platform includes:

• ScoreCheck — Bid score simulation and gap analysis
• Bid Booster™ — AI-powered response improvement
• ProofBuilder™ — Case study generation
• Capability Pathways — Targeted learning resources
• TenderReady Evaluation — Bid readiness self-assessment

2. Information We Process

2.1 Bid response content. When you use ScoreCheck, Bid Booster™ or ProofBuilder™, the text you paste or upload is sent to our AI processing service for analysis. This content is processed in real time and is not permanently stored in any database.

2.2 Self-assessment answers. When you complete the TenderReady Evaluation, your answers are processed entirely in your browser. No assessment data is transmitted to our servers.

2.3 Technical data. We may collect standard technical information including IP address, browser type, device information, session duration and page interactions for security, analytics and service improvement purposes.

2.4 Uploaded documents. Files uploaded for text extraction (PDF, DOCX, TXT) are processed in memory for text extraction only. The extracted text is used for the current session and is not stored permanently.

3. How Your Content Is Handled

Your bid content is sent to our AI processing service (hosted by Abacus.AI) solely to generate your analysis results. The AI service processes the content to produce scores, recommendations and improvements, then the content is discarded.

4. AI Processing

TenderReady uses large language models to analyse bid responses and generate recommendations. When you submit content for analysis:

• Your text is sent to our AI infrastructure for processing
• The AI generates scores, gap analysis and improvement suggestions
• Results are returned to your browser and displayed
• The AI does not retain your content after processing

5. No Account Required

TenderReady tools can be used without creating an account or logging in. Where no account is used, we do not collect your name, email address or any other personal identifiers beyond standard technical data described in section 2.3.

6. Cookies and Analytics

The TenderReady platform may use cookies and analytics tools to understand usage patterns, monitor performance and improve the service. You may control cookies through your browser settings, though some functionality may be affected.

7. Data Security

We use reasonable security measures including encrypted connections (HTTPS), access controls and provider-level security. However, no online service is completely secure and we cannot guarantee that information will be free from unauthorised access.

8. What You Should Not Upload

TenderReady is designed for draft bid responses and project descriptions. Do not upload:

• Personal information about identifiable individuals
• Confidential commercial pricing or cost models
• Government security-classified material
• Information subject to legal privilege
• Payroll, HR, or employee-identifiable records

Users are responsible for ensuring submitted content is appropriate for AI processing.

9. Third-Party Services

TenderReady relies on third-party infrastructure providers for hosting and AI processing. These providers process data under their own terms and security practices. We select reputable providers and use appropriate contractual protections where applicable.

10. Your Rights

You may request access to, correction of, or deletion of any personal information held about you by contacting us. Because TenderReady processes most content in memory without permanent storage, there is typically no stored bid content to delete.

11. Children

TenderReady is a professional business tool and is not directed to children.

This Privacy Statement may be updated from time to time. The current version applies from the date published.
